These Booking Terms and Conditions apply to all safari bookings made with Royal Holidays Safari. Please read them carefully before making your reservation.
1. Booking Process
How to Book
- Complete the online booking form on our website
- Contact us via email or phone to discuss your requirements
- Book through our authorized travel agents
Booking Confirmation
- Receive booking confirmation within 24 hours
- Confirmation includes booking reference number
- Payment instructions will be provided
- Booking is confirmed upon receipt of deposit
2. Payment Terms
Deposit Requirements
- Standard Bookings: 30% deposit required
- Gorilla Trekking: Full permit payment required upfront
- Peak Season: 50% deposit may be required
Final Payment
- Due 30 days before departure
- Late bookings require immediate full payment
- Payment methods: Bank transfer, credit card, PayPal, mobile money
3. Travel Requirements
Documentation
- Valid passport (minimum 6 months validity)
- Appropriate visas for Rwanda/Uganda
- Yellow fever vaccination certificate
- Travel insurance documentation
Health Requirements
- Gorilla trekking: Minimum age 15 years
- Good physical fitness required
- No infectious diseases
- Medical clearance for certain activities
4. Changes & Modifications
Client-Initiated Changes
- Changes subject to availability
- Fees may apply for date changes
- Name changes: $50 processing fee
- Major itinerary changes treated as new booking
Force Majeure
- We reserve the right to modify tours due to circumstances beyond control
- Alternative arrangements will be offered
- No refund for modifications due to force majeure
5. Group Bookings
Group Discounts
- 6-10 people: 5% discount
- 11-15 people: 10% discount
- 16+ people: Custom pricing available
Group Terms
- One lead passenger responsible for group
- Special payment plans available
- Dedicated group coordinator assigned
